Make Your Holiday Card Address List From iPhone Contacts

A white mail truck parked on a snowy city street in winter

The cards are ordered, the photo is picked, and the card site is asking for addresses. You open Contacts to copy them over and find your aunt three times: once under her full name, once as "Aunt Linda", once with the apartment she moved out of in 2021. Your cousin has a phone number and nothing else. And the list you made last year is on a notepad you can't find.

The short answer: fix it once, in the Contacts app, and keep it there. Merge the duplicates first. Put everyone who gets a card into one Contacts list called Holiday Cards. Open each card in that list and fix the address. Then export the list with only names and addresses turned on, as a file most card and label tools can take. Forty cards take about half an hour, and next year the list is already waiting.

Step 1: Merge duplicate contacts first

Do this before you build the list. Otherwise you add the wrong copy of a person and the old address goes on the envelope.

  1. Open the Contacts app.
  2. Below My Card at the top, tap View Duplicates. It only appears when two or more cards share the same first and last name.
  3. Tap a person to review and merge, or tap Merge All.

That catches exact name matches only. "Aunt Linda" and "Linda Moreno" are not matched, and neither is a card with a misspelled surname. For those, open one of the cards, tap Edit, tap Link Contacts, pick the other card and tap Link. Linked cards show up as one person in your list. For the longer version, including duplicates caused by Gmail or an old work account syncing the same people, see how to delete duplicate contacts on iPhone.

Phone Diet's Contact Cleaner also groups cards that share a phone number or an email address, not just a name, and shows which details exist on only one card before you merge. Scanning is free; merging needs Premium. Get Phone Diet

After any merge, check the address. A merge combines the details from every card, and Phone Diet's merge keeps every distinct address. If one copy had the old apartment and another had the new house, the merged card now has both, and an export may include both. Delete the old one in Step 3.

Step 2: Put everyone who gets a card into one list

Contacts lists have been on iPhone since iOS 16. A list doesn't copy anyone; it just groups existing cards, so a fix you make on a card shows up in the list too.

  1. In Contacts, tap the Lists button at the top left.
  2. Tap Add List and name it Holiday Cards (or Holiday Cards 2026 if you send different cards to different people).
  3. Open the new, empty list and tap Add Contacts. Tick everyone who gets a card, then tap Done.

Go through it with last year's card stack or the cards you received last December next to you. That's the fastest way to remember the people who never text you but always send a card.

One card per household, not per person. If you have both halves of a couple, keep the one with the right address in the list and leave the other out. Otherwise the printer sends two cards to one door.

Step 3: Open every card in the list and fix the address

This is the part no app can do for you, and it's where returned envelopes come from. Open each person in the list and look for:

Phone Diet won't help here, and we'd rather say so. Its Contact Cleaner does not look for missing or outdated mailing addresses. It also files a card that has only a mailing address (no phone number, no email) under No Contact Info, because it checks for a way to call or email. If you use it, don't bulk-delete that group before card season: Great-Aunt Ruth's card with only her street address may be in it.

Step 4: Export only names and addresses

  1. In Contacts, tap the Lists button.
  2. Touch and hold Holiday Cards, then tap Export.
  3. Choose which fields to include. Keep the name and the address. Turn off phone numbers, emails, birthdays, notes and photos, plus anything else the printer doesn't need. Then tap Done.
  4. Choose where to send the file: Save to Files, Mail it to yourself, or AirDrop it to a computer.

You get a single vCard file (it ends in .vcf) with everyone in the list. Many card-printing and label sites accept a vCard upload. If yours only accepts a spreadsheet, check its help page for a vCard or "Apple Contacts" import before typing anything by hand.

Trimming the fields matters for more than tidiness. You are handing a company your friends' and family's details. Their addresses are needed. Their phone numbers, birthdays and whatever you once typed in the Notes field are not.

Printing labels yourself? The iPhone Contacts app can't print labels. If you have a Mac signed in to the same iCloud account, the Contacts app there can print mailing labels and envelopes from a list, and the Holiday Cards list you made on your iPhone shows up on the Mac when your contacts sync through iCloud.

Before you merge anything: take a snapshot

Merging can't be undone with a tap in Apple's Contacts app. If you're about to merge a lot, export a copy of everyone first. In Contacts, touch and hold the list of all your contacts in Lists, tap Export, and save the file. Phone Diet's Contact Cleaner also has a free Backups screen that saves a snapshot of your whole address book on the phone, and cards it merges or deletes go to its own Recently Deleted for 30 days.

Common questions

Can I print mailing labels straight from my iPhone?

Not from the Contacts app on iPhone. Export your list as a vCard and upload it to a card or label service that accepts one, or use a Mac: the Contacts app on Mac can print mailing labels and envelopes from a list, and lists you make on iPhone show up there when your contacts sync through iCloud.

Will the export include phone numbers and notes?

Only if you leave them on. When you export a list, the Contacts app asks which fields to include. Keep the name and address and turn the rest off, so a printing company never receives phone numbers, emails, birthdays or private notes.

Why does someone show up twice after I merged?

The iPhone's own View Duplicates only matches cards with the same first and last name. A card saved as Mom and another saved under her full name are not matched. Link them by hand (open one, tap Edit, then Link Contacts) or use a cleaner that also matches on a shared phone number or email.
